How to connect a webshop to PANTHEON: what is transferred and how often

What PANTHEON sends to a webshop, what it picks up, how often, and who builds the integration. Applies to WooCommerce, Shopify, Magento and Saleor.

Short answer: the integration connects to the webshop’s API. PANTHEON sends items, categories, prices and stock, and picks up orders in a chosen status and turns them into an order or an invoice. Items are updated in real time, stock every 15 to 30 minutes, and orders are picked up roughly every 5 minutes. We can build the whole integration ourselves, without your webshop developer.

What goes in which direction

From PANTHEON to the webshop (push):

  • items with SKU, name, price, promotional price, metadata and tags,
  • categories,
  • stock levels.

From the webshop to PANTHEON (pick-up):

  • orders in the status we agree,
  • new customers, which go into the partner register.

PANTHEON stays the main source of item, price and stock data, so they are not kept in two places.

What is created in PANTHEON from an order

Depending on the order status in the webshop and the agreed process, PANTHEON creates:

  • an order, with a firm stock reservation if needed, or
  • an invoice, which is sent to the customer by e-mail automatically. On WooCommerce the PDF of the invoice is also visible in the order itself.

What is created depends on your process: whether you sell with payment in advance or invoice afterwards, whether you keep stock reservations, and so on.

How often

The frequency is agreed per client. As a guide:

Courier and payment

The integration usually does not end at the order:

  • GLS and DPD: a shipment is created from the document, and the parcel number (ParcelId) is stored in PANTHEON. The system checks whether the shipment has already been sent, so it is not sent twice, and the status is refreshed with the courier’s reply. With DPD, cancelling and a PDF label straight from PANTHEON are also possible.
  • Corvus Pay and Stripe: the system checks whether the order is paid and with which card (VISA, Mastercard or another), because accounting needs it for posting.

An example of a custom add-on

Specific needs are easy to add to the standard flow. On one project, for example, an RBA bank statement is loaded every 30 minutes and changes the order status in the webshop once the payment has arrived. Who builds the integration

Some solutions offer only an API, so the webshop developer has to build the whole connection alone. With us it is different: we build the integration on both sides, PANTHEON and the connection to the webshop, so one team is responsible for the whole flow from order to invoice. Your developer is needed only if the webshop itself needs a small change.

  • a webshop with API access (WooCommerce, Shopify, Magento, Saleor or a custom webshop),
  • a PANTHEON license and Datalab’s Connector license for automatic connection to an external system,
  • an agreement on which order statuses we pick up and what is created from them.
