PANTHEON ERP implementation

Implementation is bringing PANTHEON ERP into a company’s daily work: adapting the program to your business processes and training your staff, from mapping the processes to the first work in the program. We have implemented PANTHEON since 2004. A simple implementation takes a month, a more complex one three months or more.

How long it takes

Type of project Approximate duration
Simple implementation, for example the goods part and POS from one month
More complex implementation from 3 months, depending on areas and add-ons

Duration depends on the areas being introduced (finance, goods, POS, production and others) and on the number of add-ons the client requests. We agree concrete deadlines after the analysis.

Who works on the project

Ars Pantheon has 13 employees. On each implementation an average of 2 to 4 consultants work, depending on what the project needs:

  • the system side (server, database, network),
  • development (add-ons and integrations),
  • implementation (settings, training),
  • accounting (the bookkeeping side).

Questionnaire before the offer

Before every offer or implementation the client fills in a questionnaire for the areas being introduced. That way both sides know from the start what is being introduced, how long it will take and who will work on the project, and the offer is not based on assumptions.

What an implementation looks like

An implementation is essentially adapting PANTHEON to your company’s processes and training your staff to work in it. It goes in this order:

  1. Mapping and analysis of business processes: we learn how the company works today, which documents it uses and who does what.
  2. Adapting PANTHEON: settings, code lists, document types and permissions are adapted to your processes according to the implementation questionnaire you filled in before the offer.
  3. User training: in steps agreed in advance, with an agreement on which employees attend which session. It takes place 2 to 3 times a week, and after each session you get tasks to practise before the next one.
  4. Data transfer: during or after training we transfer data from Excel, the old program and other sources. Most often these are items, partners (customers and suppliers), account balances, trial balance, fixed assets, stocktaking and basic employee data.
  5. Testing and print layouts: we check the work on real examples and adjust the document printouts.
  6. Go-live: with our support, on the phone and remotely, until the first period close.

Implementation is a good moment to connect other systems right away, e.g. a webshop or a courier service.

Frequently asked questions

How long does a PANTHEON implementation take?

For simple implementations, for example the goods part and POS, from one month. For more complex ones from 3 months upward, depending on the areas being introduced and the number of add-ons the client requests. You get a plan with deadlines after the analysis.

Who works on the implementation?

On average 2 to 4 consultants per project, from the system side, development, implementation or accounting, depending on what the project needs. We are 13 employees in total.

What happens before the offer?

Before every offer or implementation the client fills in a questionnaire for the areas being introduced. Based on it we estimate the scope, duration and consultant involvement.

Can you transfer data from our old program?

Yes. We transfer data from Excel, the old program and other sources. Most often these are items, partners (customers and suppliers), account balances, trial balance, fixed assets, stocktaking and basic employee data. We agree the scope based on what the old program can export.

What is a PANTHEON implementation, exactly?

Adapting PANTHEON to your company’s business processes and training your staff to work in it. It starts with mapping and analysing the processes and continues with settings based on the implementation questionnaire, training, data transfer, testing and go-live with our support.

What does the training look like?

It is done in steps agreed in advance, with an agreement on which employees attend which session. It takes place 2 to 3 times a week, and after each session we set tasks for the next one.
